We are currently looking for Assistant / Interior Design Project Coordinator to join us San Diego, California Office. headquarters. center. Under minimal supervision, this person is responsible for administrative support of interior design projects, proactively anticipating and ensuring tasks and deadlines are met. This individual will provide administrative support to senior leaders, project teams, and employees as needed, as well as support overall administrative processes by collaborating with other administrative staff throughout the company, contributing to a positive and productive work environment.
Basic Responsibilities:
- Work closely with lead designers on all logistical aspects of projects, including scheduling and project reporting – pipelines, contracts, billing, etc.
- Vendors coordination – request for samples, product information, lead time and quotations; Maintain records of manufacturer representative information.
- Prepare, process, review and expedite purchase orders by completing all orders; Schedule final inspections of completed items and coordinate delivery.
- Tracking/Scheduling – Create and maintain a detailed budget spreadsheet of all furnishings and materials purchased for each project and update as order progresses and tracks it.
- Assist managers and project managers in preparing and keeping track of project schedules, budgets and invoices.
- Prepare, track, edit and execute complex documents, proposals, presentations, spreadsheets and expense report reimbursements in a timely manner with attention to detail and accuracy
- Attending meetings and preparing draft meeting minutes for the approval of the project manager.
- Coordination of project documents for reproduction and distribution.
- Assist in project preparation and revenue tracking in project tracking software (Ajera).
- Coordinate and schedule travel arrangements, events and meetings.
Knowledge, skill and abilities:
- Professional conduct and service oriented with a friendly, flexible and positive attitude.
- Advanced skills in Microsoft Office (MS Outlook, Word, Excel and PowerPoint).
- Punctuality and reliable attendance.
- Excellent written and verbal communication skills are required.
- Excellent leadership and interpersonal skills, including the ability to establish and maintain effective working relationships with others and to communicate effectively with individuals at all levels.
- Strong organizational skills and attention to detail; Ability to manage a task from start to finish.
- Initiative in communication and problem solving.
- sound work ethics and the highest level of integrity; The ability to handle highly confidential matters with caution.
- Knowledge of contract management is preferred.
Minimum Experience, Education and Certifications:
- Bachelor’s degree and 5 or more years of relevant experience, or an equivalent combination of education and work experience.
- Previous experience supporting executives of a medium to large sized company.
- Work in a creative or professional services environment that supports multiple leaders.
- Experience working with an architecture or interior design firm a plus.
- Must be legally authorized to work for any employer in the United States without any restrictions or visa sponsorship.
